Using Filters in Outlook XP/2003 to Sort Mail

One of the problems that you may frequently encounter is the large amount of email that can congest your inbox, ranging from spam to newsletters to confidential correspondence. There is a feature in Outlook XP/2003 that allows you to quickly "sort" through mail; this feature is found at Tools -> Rules and Alerts. Choose to set up a new rule by clicking "New Rule" and follow the wizard presented to you. Though the wizard is quite expansive (much too large for a tip of the day), actions like "Move to" and conditions such as "Sender" are self-explanatory. Once you set up the rules, run them to sort existing mail and apply them to sort new incoming mail.

Fast Paragraph Rearrangement

To quickly change paragraphs in Word without having to rearrange or drag-and-drop paragraphs, simply set the cursor to the paragraph that you wish to move and use the combination Shift + Alt + (Up or Down). Up will move the paragraph up in order; down will have the opposite effect.

Quick Word Count in MS Word

Many times you want to know the number of words in a document and you have to go through a few menus to run the word count. Well, there is a quicker way. Go to View > Toolbars, and select Word Count. You will get a small little bar show up as a floater. Now, just drag that floating toolbar onto your main toolbar somewhere and it will then append itself there. Now, all you need to do is hit the "Recount" button to get a quick, one-click word count at any time.

Word Tip: Calculator

Instead of opening Windows calculator to perform a calculation utilized in a Word document, use the built-in calculator function in Word. Go to View -> Toolbars -> Customize and select "Tools" under "Categories." Click on the "Tools Calculate" button and drag it to where you desire on your toolbar. Close the dialogue box. The calculator is now installed. To use it, simply highlight any calculation and press "Tools Calculate." The result of the calculation is automatically saved to the clipboard, so a Paste or Ctrl +V would do the trick.

Getting rid of the Auto-Canvas

Microsoft Word, by default, generates an intrusive and oftentimes annoying "canvas" with the text "Create Your Drawing Here" upon the user creating an Auto-Shape. There is an easy way to get rid of this auto-canvas creation. Once in Word, go to Tools -> Options -> General Tab and unselect "Automatically create drawing canvas when inserting autoshapes." Word will stop creating the offending canvases at once!
